How To Submit Contributions Manually

This article will walk you through the process of submitting your payroll contributions manually, so you can find answers to your questions and guidance through each step. 

To get started, go to the Contributions Dashboard:

Overview of How to Submit Manual Contributions

There are three ways to submit contributions - in this article, we'll explore two of them:

  1. Typing the contribution data directly into the grid. 
  2. Copying the data from a previously completed payroll submission of the same type, e.g., regular or off-cycle submission.

How to Type Contribution Data Directly into the Grid

Click Start Contribution.

 

You will be directed to the grid, which will include columns auto-populated with information about active/eligible employees, including:

  • Social security number
  • First and last name
  • Date of birth
  • Roth employee deferral percentage

Note: When submitting contributions, the system will only auto-populate data for eligible/active employees. You may need to update employee statuses in the Employer Tab. 

To manually enter contribution amounts, go to the Roth $ Amount column:

  1. Calculate the dollar amount that is equivalent to the employee's Roth deferral percentage. 
  2. Type the dollar amount into the Roth $ Amount column for each employee deferral. 
  3. Click Send & Validate to submit your contributions. 

How to Copy the Data from a Previously Completed Payroll Submission

Click Start Contribution.

 

You will be directed to the grid, which will include columns auto-populated with information about active/eligible employees, including:

  • Social security number
  • First and last name
  • Date of birth
  • Roth employee deferral percentage

To copy the data from a previously completed payroll submission of the same type, click Copy from (DATE):

  1. This action will auto-populate the Roth $ Amount from your prior submission of the same type (off-cycle vs regular) and same pay group. 
  2. Be sure that any outstanding employee deferral changes are up-to-date and remove any employees who are inactive/ineligible. 

Click Send & Validate to submit your contributions. 

Understanding Validation Issues

After you click Send &Validate, you may encounter validation errors related to employee data e.g., missing information, duplicate information, formatting issues, and unrecognized employees. 

Any fields on the grid with data validation issues will be highlighted in red.

Understanding Unallowed Contributions

After you click Send & Validate, you may encounter a message with details about Unallowed Contributions, i.e. negative contributions, contributions for ineligible employees, and contributions over the annual IRS limit. 

You will be prompted to review the Unallowed Contributions before you can complete your submission.

Review Your Submission 

View your submission summary in the footer, including dollar amount and number of employees.

You will be prompted to your Review Submission:

  • Confirm the total $ amount. 
  • Verify your payment instructions.
  • Review contribution adjustment details. 

After review submission, there are 3 possible actions you can take:

  • Complete Submission.
  • Edit Submission.
  • Cancel.

Complete Your Submission

After you click Complete Submission, you will be redirected back to the contributions page. In the History section, you can view your Total Contribution, Contributions Details, Summary, and status of your contributions.  

The status of your submission is indicated by a star in the status tracker. The current submission status is also reflected in the History section on the Contributions tab. 

Statuses:

  • Started: You started a submission but did not complete it. 
  • Submitted: Your submission has been sent for processing. 
  • Processing: Your submission is processing and you cannot make edits. 
  • Delivered: Your submission has been delivered. 

Once your contribution has been successfully processed, you will receive a confirmation email.
